About the role
Crebos builds software, design, AI, and automation solutions, and this role maintains the company's Knowledge Operating System so teams can find current, owned, and approved documents. The work focuses on document governance, data quality, and preparing company knowledge for reliable AI use using Google Drive and ClickUp. The assistant reviews incoming information, identifies duplicates and version conflicts, classifies records, maintains trackers and indexes, and routes proposed actions to content owners.
What you will do
- Review incoming information in Google Drive and other approved sources.
- Identify duplicates, conflicting versions, outdated files, and missing information.
- Classify records using Crebos standards.
- Add verified details such as source link, owner, status, and version.
- Maintain the Conversion Tracker.
- Propose which records to keep, merge, convert, or archive, and route each proposal to the appropriate owner.
- Carry out approved file moves and update the Knowledge OS Index so it points to the current, approved source.
- Track follow-ups in ClickUp, maintain dated batch logs, and flag recurring issues such as broken links or missing owners.
- Handle confidential employee and client information according to access rules.
- Content owners approve what becomes official.
- File deletion and permission changes sit outside this role’s authority.

- Responsible AI use — Use approved tools where they help, verify their suggestions against source records, and respect access rules.
- Experience in document control, records management, data cleanup, or a similar operations role where accuracy and consistency matter.
- Confidence with Google Drive, Google Docs, and spreadsheets.
- Familiarity with ClickUp or a similar work tracker is helpful.
- Clear written English for naming records, documenting proposed changes, and explaining exceptions.
- A reliable method for checking your own work, including links, duplicates, versions, and missing information.
- Good judgment with incomplete or confidential information and the ability to follow a documented process consistently.
- Lead by example through the quality of your work.
- Take responsibility for your queue, communicate clearly when a decision is needed, and make handoffs easy for the next person.
- When an issue keeps recurring, bring a concrete example and suggest how to prevent it.
